Role & Permissions

The Roles & Permissions system in Mumu provides granular control over what users can access and do within the platform. Beyond the basic Administrator and Member roles, you can create custom security roles with specific permissions for each module—Core, MsgGO, Q&A, Skill Matrix, Planning Poker, and more. This guide explains how to set up and manage access control across your organization.

Understanding Security Roles

Security roles (also called IAM roles—Identity and Access Management) are different from organizational roles:

  • Organizational roles (CEO, CTO, Team Lead): Define job positions and responsibilities
  • Security roles (Administrator, Member, Custom roles): Control access to system features and data

Built-in Security Roles

Administrator

Full access across all modules:

  • Can manage organizational structure, members, and settings
  • Can create and modify all data types
  • Can manage billing and subscription
  • Can create and assign security roles
  • Can access all modules without restrictions

This role should be reserved for trusted individuals responsible for platform administration.

Member

Basic access with limited permissions:

  • Can view organizational structure
  • Can view their own profile
  • Can update their own skills and information
  • Cannot manage other users or organizational settings
  • Cannot access billing or administrative functions

This is the default role for most team members.

Creating Custom Security Roles

Custom roles allow you to grant specific permissions beyond the Member level without giving full Administrator access.

Creating a Role

  1. Navigate to Organization > Roles & Permissions
  2. Click New role or similar action
  3. Enter a Name for the role (e.g., "HR Manager", "Department Lead")
  4. Configure permissions for each module (see below)
  5. Click Save

Assigning a Custom Role

  1. Navigate to Organization > Members
  2. Click the edit icon next to the member's name
  3. Scroll to Security role section
  4. Select the custom role from the dropdown
  5. Click Save

⚠️ Warning: Changing permissions can affect user access across the entire application.
