Organization Chart Guide

The Organization Chart is the visual heart of the Core module, providing an interactive, hierarchical view of your entire company structure. It displays members, their roles, reporting relationships, and organizational units in an intuitive, easy-to-navigate interface.

Accessing the Organization Chart

Navigate to Organization > Org Chart from the main sidebar to open the interactive organization chart view.

Chart Layout and Structure

Visual Hierarchy

The organization chart displays your company as a tree structure:

  • Top level: Organization-wide roles (CEO, CTO, CFO, etc.) shown as individual member cards
  • Mid levels: Departments, divisions, and business units shown as unit cards
  • Lower levels: Teams, squads, and projects shown as unit cards
  • Visual connections: Lines showing reporting relationships

Important: Only members holding organization-wide roles appear as individual cards on the chart. Members assigned to units are visible by clicking on their unit card to view the unit's member list.

Member Cards

Member cards appear in the org chart only for individuals holding organization-wide roles (such as CEO, CTO, CFO, or custom organization roles like a company-wide Scrum Master or Safety Officer).

Each member card displays:

  • Avatar: Profile picture or generated avatar
  • Name: Full name of the member
  • Role: Organization-wide role title (e.g., "CEO", "CTO")

Note: Members assigned only to units (teams, departments) do not have individual cards on the main chart. To view unit members, click on the unit card to open the details panel.

Unit Cards

Organizational units (departments, teams, projects) are displayed as cards showing:

  • Unit name: Name of the organizational unit
  • Unit type: Type label (e.g., "Department", "Team")
  • Manager indicator: Shows who manages the unit (if assigned)

To view the members assigned to a unit, click on the unit card. A side panel opens displaying:

  • Unit details (name, type, description)
  • Manager information
  • Complete list of members with their roles within the unit
  • Unit competencies (aggregated skills from all members)

Navigation and Interaction

Pan and Zoom

  • Click and drag: Move the view to explore different parts of the organization
  • Scroll to zoom: Zoom in for details or zoom out for the big picture

Quick Actions Panel

Click on any member card (organization role) or unit card to open a side panel with detailed information:

For Members (Organization Roles):

  • Full profile information
  • Email address (with copy button)
  • Organization role description
  • Edit and delete options (if you have permissions)

For Units:

  • Unit details (name, type, description)
  • Manager information
  • Complete list of members with their roles within the unit
  • Unit competencies (aggregated skills)
  • Edit and view full details options

Toolbar Actions

The top toolbar provides quick access to key functions:

  • Assign Org Role: Create organization-wide role assignments (CEO, CTO, etc.)
  • Assign Unit Role: Assign members to roles within specific units
  • Members: Quick access to the members list
  • Units: Quick access to the units management view

Working with the Chart

Viewing Member Details (Organization Roles)

To view details of a member holding an organization-wide role:

  • Click on their member card in the org chart
  • A side panel opens showing:
    • Contact information
    • Organization role description
    • Email address (with copy button)
    • Profile link for full details

Viewing Unit Details and Members

To view a unit's details and see all its members:

  • Click on a unit card (e.g., a department or team box)
  • The side panel displays:
    • Unit information and description
    • Manager details
    • All members assigned to this unit with their roles
    • Aggregated unit competencies (skills from all members)
  • Click edit icon to modify unit details
  • Click delete icon to remove the unit (if empty and you have permissions)

This is the primary way to see which team members belong to specific departments, teams, or projects.

Assigning Organization Roles

Organization roles are company-wide positions like CEO, CTO, or CFO. Members with organization roles appear as individual cards on the org chart.

  1. Click Assign Org Role in the toolbar
  2. Select the Role from the dropdown (e.g., CEO, CTO)
  3. Choose the Member to assign
  4. Select Parent Entity (who this role reports to, or "There is no one above this entity" for top-level)
  5. Click Save

The member now appears as an individual card in the org chart at the appropriate hierarchical level.

Assigning Unit Roles

Unit roles are positions within specific organizational units:

  1. Click Assign Unit Role in the toolbar
  2. Select the Unit (e.g., IT Department)
  3. Choose the Member to assign
  4. Select the Role they'll hold in this unit
  5. Check Primary assignment if this is the member's main role
  6. Click Save

The member is now assigned to the unit. To view them, click on the unit card in the org chart to open the side panel showing all unit members.

Understanding Primary Assignments

  • Each member can have multiple assignments across different units
  • Primary assignment is the member's main role, shown:
    • In their profile under their name
    • In member lists and directories
    • In unit member lists (marked as primary)
  • While not required, it's recommended that every member has one primary assignment

Note: Only organization-wide roles (CEO, CTO, etc.) appear as individual cards on the main org chart. Unit role assignments are visible within the unit's detail panel.

Manager Designation

When viewing a unit in the side panel:

  • Click Assign Manager to designate who manages the unit
  • Select a member from the dropdown
  • The manager's name appears in the unit card with a "Manager" label
  • Managers have hierarchical authority over their unit members

Tips for Effective Use

Keep Structure Updated

  • Regularly update the org chart as people join, leave, or change roles
  • Ensure primary assignments are current
  • Update manager designations during reorganizations

Use Clear Naming

  • Give units descriptive names that reflect their purpose
  • Use consistent naming conventions across similar unit types
  • Include context in role names when needed (e.g., "Senior Frontend Developer" vs "Developer")

Leverage Unit Types

  • Use primary unit types for core organizational structure (Departments, Divisions)
  • Use secondary unit types for cross-functional groups (Communities of Practice, Committees)
  • This helps distinguish formal hierarchy from informal groupings

Maintain Reporting Lines

  • Clearly establish parent-child relationships for organization roles
  • Assign managers to all units
  • Ensure the hierarchy accurately reflects decision-making authority

Common Scenarios

Onboarding a New Employee

  1. Add the member in Members section
  2. Navigate to Org Chart
  3. Click Assign Unit Role to place them in their team
  4. Mark the assignment as Primary
  5. The new employee is now part of the unit
  6. To view them, click on their unit card in the org chart

Creating a New Team

  1. Create the unit in Units section with appropriate type
  2. Set the parent entity (which department it belongs to)
  3. Navigate to Org Chart
  4. Assign a manager to the unit
  5. Add team members using Assign Unit Role

Promoting an Employee

If promoting to an organization-wide role (e.g., VP, Director):

  1. Click Assign Org Role in the toolbar
  2. Select the member and the organization role
  3. Set the parent entity (reporting relationship)
  4. The member now appears as an individual card on the org chart

If promoting within their unit (e.g., Junior to Senior Developer):

  1. Navigate to the unit in the org chart and click on it
  2. Edit their existing role assignment or add a new one
  3. Update their Primary assignment if needed
  4. The updated role appears in the unit's member list

Reorganizing Departments

  1. Update unit structures in Units section
  2. Reassign members to new units via Assign Unit Role
  3. Update manager assignments
  4. Verify the org chart reflects the new structure
  5. Communicate changes to affected team members

Troubleshooting

Member Not Showing in Org Chart

If expecting to see them as an individual card:

  • Only members with organization-wide roles (CEO, CTO, custom org roles) appear as individual cards
  • Members with only unit roles will not have their own cards on the main chart

If expecting to see them in a unit:

  • Click on the unit card to open the side panel
  • Verify the member has a unit role assignment to that unit
  • Check that the unit exists and has proper hierarchy
  • Ensure you have viewing permissions for that unit

Can't Assign a Role

  • Verify you have "Manage" permissions for Organization Core
  • Check that the role exists in Unit roles section
  • Ensure the member account is active

Org Chart Looks Incorrect

  • Review parent-child relationships for units and roles
  • Verify manager assignments are correct
  • Refresh the page to ensure you're seeing the latest data
